Instructions for use of the district-wide Internet based e-mail system

These instructions assume you have logged on to a district network computer or accessed a home computer connected to the Internet, and are at the desktop display. 

The desktop is the first screen displayed after logging in to a district network computer or starting up a home computer.

1.     There will be several ways to access the district e-mail system. Through a shortcut icon placed on the desktop, (automatic for faculty only on district network computers), a selection in the Internet Explorer (IE) browser favorites menu, typing the web e-mail address (http://mail.gloversvilleschools.org:3000) in the address bar at the top of the IE browser screen or the link that is on the Gloversville School District web page, (www.gloversvilleschools.org), labeled GESD e-mail.

2.     After selecting one of the options above, the InterShield Mail World Client sign in page will load. In the line labeled, Email Address, type in the first letter of your first name followed by your entire last name, with no periods or spaces. 

It will not be necessary to type in the entire address, (*@gloversvilleschools.org), to access the system. 

In the line labeled, Password, type in the last 4 digits of your social security number. Next click the mouse pointer on the Sign In button, or press enter on your keyboard.

3.     After several seconds, your e-mail account page will appear. On the top left column of your page are the user links:

  • Get Mail - retrieves mail sent to your address (mail is also automatically retrieved by the mail server at set intervals).

  • Compose - opens a new mail message window for composing and sending e-mail.

  • Calendar - a separate instruction booklet will be distributed for this feature available upon request to your school building main office.

  • Address Book - the Public list contains e-mail addresses of all account holders on the GESD InterShield e-mail server. The Private list is there for you to add e-mail addresses for people other than those listed in the Public list.

  • Options - Select (click on options) the options link, please change the following settings the first time you access your account:

    Select Personalize
    Change List Messages Per Page to: 50
    Change List All Attachments to: Yes
    Change Add Replies to Address Book to: Yes

  • Ensure the remainder of the settings are set as follows:

    Language - English
    Theme - Standard (This controls the way your account page is displayed
    Style - Normal (The only other selection is Green)
    Preferred Multipart Format - HTML text (default)     List Refresh Time - 10 (the default is to check for new mail at 10 minute intervals)
    Sort Order - Descending Date (default)
    Name Format - Show By Name (default)
    List All Attachments - Yes
    Empty Trash on Sign Out - No
    Message Deletion - Move to Trash
    Hide Deleted Messages - No
    Hide Unsubscribed Folders - No

    When your changes have been completed, select the Finished link at the top or bottom of the displayed page.

  • Help - Everything a World Client user needs to know for basic and advanced use of their e-mail account and all features. 

  • Empty Trash - This link empties any e-mail placed in the trash folder, with option to cancel.

  • Sign Out - This link will sign you out of your account and return you to the World Client sign-in page.

  • Folders - This link allows you to create additional folders for storage of important e-mails.

4.     In the lower left column is a list of the existing folders. All current users of e-mail systems will be familiar with these folders. (see help)

The large center/right column displays any e-mail received. By selecting the entry under the subject heading, opens the actual e-mail text window up, so you can read the e-mail. 

All attachments to the e-mail, (if any), may be accessed by clicking the links at the bottom of this page. The first attachment link shown is always a duplicate copy of the e-mail text body, indicated by (shown online). The (shown online) attachment is not an actual attachment to  the e-mail. 

There is a menu bar at the top and bottom of  the large column. The first item is a pull down menu that is always set to your Inbox folder, (unless changed by the user). With this pull down, you can select any of the folders to see a list of e-mails you have stored in them. 

By placing the mouse cursor over the remaining menu items, a pop-up will appear, telling you what the item does. The empty boxes to the left of each e-mail are for checked selection purposes, and are used for deleting, moving or copying the email message. 

Once an e-mail window is opened, by selecting the title under the subject column, another menu is available at the top and bottom of the message body window. These menu items are also explained with pop-ups, by placing the mouse cursor over the menu item, and are self-explanatory.

5.     Please be aware that any virus infected e-mail will not be forwarded to your Inbox. Users will not be notified when a virus infected e-mail or attachment has been received, nor will the sender of the infected e-mail. It is possible to configure the e-mail server to perform these functions, but with the high amount of infected e-mail entering the system, the additional traffic will slow the e-mail server down considerably. 

District network computers are protected by state of the art virus protection and monitoring software. This will protect the school district computers. We highly recommend home computer users purchase the latest version of Symantec Norton Anti-Virus software, compatible with your current version of Windows, to install on their personal home computers, and run the live update feature at least on a weekly basis. 

Any individual or institution sending e
-mail to the GESD mail server should ensure that they have comparable virus protection software installed to protect their network or dial-up computers.
